I still do not have a good professional photograph of me looking like a Serious Geologist In the Field. But I had some downtime in a scenic area, waiting for yet another part to be delivered, I wasn't actively burnt and/or rashy from poison ivy, and I thought, "hell, I'm just sitting here. I'll take my own damn photograph!".
Man, hot day + sunscreen + logging soil samples and brushing at stray bugs means I am really not going to get a professional looking photograph in the field. Ladies in the movies can look dewy and/or artfully grease-stained. I just look gross.

Small SUV, please
I occasionally go to remote sites that have bad access roads, and for those I need something with all-wheel drive and clearance to get all the way to where I need to go (otherwise, it's a loong hike). The rental company's default appears to be a giant-ass SUV and/or extended-cab pickup truck (and sometimes those inexplicably don't have the all-wheel drive that I specifically requested, but I digress).
Here's the problem: a huge SUV is not only heavy (as I complained about a long time ago), but it's decidedly less maneuverable than a smaller vehicle. If you have a bunch of remote locations to check, that's a huge number of 78-point turns as you attempt to turn around in tiny clearings and wide spots in logging roads.
The other thing about a huge SUV, often with out of state plates, is that it's a big old flashing light saying "I'm associated with big government/big business and I'm not from around here" and that can be downright dangerous in many areas. At the very least, it makes things awkward when you're residential sampling or trying to find something you need in the only store within 30 miles.
I once ended up with a Kia Sportage while I was on a drilling job in the mountains. The drillers thought it was the most ridiculous thing they'd ever seen, and then it turned out that they couldn't get their pickup truck up to the drilling site after a rainstorm and I became the primary crew transport because my silly little Korean box could.*
I have zero ego bound up with my choice of vehicles (unlike certain coworkers), so I'm always happy to take the runt of the lot.

cold weather skin
I am prone to dry skin. My face is extremely sensitive, which means I come in looking sandblasted when it's cold or windy. So I moisturize and use barrier creams and super hydrating lip balm and douse myself with sunscreen in the hopes that I don't slough off most of my face after a long day in the field.
Now that I'm older, I have a new problem. My eyelids.
My eyelids have gotten that crepe-y texture reminiscent of someone with eyes... much older than mine. And they recently started cracking in the cold.
What do I do about my eyelids once they've cracked? I must have tried every super moisturizer on the market, and they uniformly say "not for broken skin" in addition to "not for the eye area". I've been slathering them with non-medicated (non-mentholated) lip balm before going out, under the theory that if they're ok for lips, they're ok for eyes.
Do you run into this problem, and if so, what works for you?

frac tank ice cubes
Now that it's the beginning of December, it's about the time to start worrying about ice cubes. Really big ice cubes. Like, 21,000 gallons.
I complained here and here and here about frac tanks, which we use when we need to containerize large volumes of water. That large volume of water will turn into a big problem in the winter when it starts to freeze. We do try to expedite things and button up the fieldwork for the winter, but if we're not in time to get rid of the water, it will turn into a giant ice cube and then we're stuck renting the tank until spring.
I have occasionally witnessed various attempts to un-freeze frac tanks. If you catch them before they're totally frozen (say, a couple of inches thick), you can break up the ice into giant chunks with a pickaxe or other deadly object, and toss the chunks into drums to be thawed. But once they're mostly frozen, you're looking at a huge thermal mass that you need to warm up. I have witnessed giant propane heaters aimed at the walls, elaborate warm-water recirculation plans, and other hairbrained schemes. But really, the rental fee on a frac tank for 3-4 months is not as much as it would take a crew of professionals and various bits of equipment to spend days on end trying to melt a ice cube of that size.
I will admit that I have not worked in an arctic or subarctic environment, where the threat of freezing frac tanks is present for much of the year. I assume, however, that the plan would still be the same: deal with the tanks as quickly as possible, and get them emptied and off-site before they freeze.

frac tank berms
This will be the week of frac tanks.
I complained about frac tanks in this post, but I wanted to mention something specific to those 21,000-gallon tanks that I find ridiculous and technically dumb: the berms you can rent.
So, if you have a very particular client or sensitive site, they may want the frac tank to have a berm around it. These can be rented along with the frac tank. Example below from here:
This doesn't have a frac tank inside it, but it's the same thing that I've rented in the past.
A few notes:
1. The berm is made of reasonably thick stuff, but it's not all that strong. If renting one, you are just as likely to get a beat-up old thing with pinholes everywhere. You can make the delivery person spend ages patching it with chemicals (probably not good for your chemical evaluation/inventory) or heat-sealing with open flame (also a problem for many sites) or make a stink and get them to deliver another. Even if you get a pristine berm, the action of backing a 21,000-gallon tank over it (whether it's on pavement or gravel), lowering the tank, and inevitably scraping the bottom along the ground will put new holes in it.
2. Say the delivery person did not make a hash of the berm/tank placement. Note the relative amount of water in the tank vs. the amount in the berm (less than a foot). This is not appropriate for anything except very incidental spills during filling. The kind you could eliminate by just draping some poly sheeting around as needed. Also, if you've parked the thing on any sort of slope, you'll lose a big chunk of the already-limited storage capacity.
3. What the berm is very good at is collecting rainwater, especially in a reasonably moist climate like most of the east coast. So you'll leave it alone for a while (for example, while you're waiting for your wastewater characterization) and then a regulatory person or adversarial inspector drops by and it's a crisis because "the tank is leaking!". You could eliminate the rainwater issue by stepping on the edge and letting the excess water out, but to say that's bad optics is an understatement. So you end up pumping that rainwater into the tank, causing premature filling and unnecessary dilution.
One way to minimize rainwater collection is to pull out the L-shaped supports (you can see them as metallic glints in the picture above) and flatten the thing until you're actually going to start slopping water around. But those supports aren't actually all that easy to pull out, especially close to the sides of the berm. Far better to just tuck in some poly sheeting and maybe some spill pads as needed and then gather them up as you finish.
As far as I can tell, frac tank berms are an excellent example of "optical remediation" - they're functionally useless, but they make decision makers feel like they're being extra clean and careful. Far better to use actual good housekeeping to keep a site clean, but that doesn't look as good on the check box, I guess.

voting and fieldwork
Having election day on a Tuesday is damn inconvenient for fieldwork. This is especially true for environmental consulting, which often involves close coordination with multiple organizations/contractors and work planned on short notice.
I do know a few people who had reasonably long (multi-day) fieldwork commitments this week, and they were able to put off that work a day and travel in the morning after voting yesterday.
For the most part, I have either had office work or was able to postpone fieldwork on election day. The one exception was my first presidential election after graduating from college. I wasn't terribly assertive with my own management back then, and when I was the sole representative for my firm on a drilling job, I didn't push back and try to reschedule the work around the election.
I ended up spending most of election night at the hotel bar after dinner, watching the returns come in with a handful of strangers who were also stranded there. We were all coming from different states and we all had our own particular local interests, so it felt like a group of expatriates.
Now that early voting is more of a thing, hopefully I won't miss any more elections. Or at least I'll be better about getting my absentee ballot just in case.

solid waste storage
So how do we actually handle and store the investigation-derived waste (IDW) that I mentioned in my previous post? I got a little carried away when I started writing, so for this one, I'll just focus on soil.
For big excavations, soil gets stockpiled (hopefully on plastic sheeting, and then covered) prior to disposal. But as a geologist, I don't usually have to personally manage stockpiles. My stock in trade is usually drums and roll-off containers.
55-gallon drums are the easiest to handle - I can hoist around empty drums myself, and my contractor (usually the drilling crew or a separate disposal/waste handling crew) should have equipment to safely move filled drums. This does not mean hanging a mostly full drum off the mast and letting it swing freely as the drill rig moves to the next location, by the way. However, once you get beyond a couple hundred gallons of soil or water, managing drum storage can get complicated fast. Also, the aesthetics of a drum farm are terrible. This is the classic:
Ah, so many fond memories of cranking the bolts open and closed again and again to add more stuff, sample, figure out what was in there after the label rubbed off... And then, after they've been banged around a while and start to rust, the ring and lid get harder and harder to open and close, and you end up beating on them with a hammer to get them to cooperate.
So we often use open roll-off containers. These are good for big jobs, especially if we're drilling large boreholes and are expecting large volumes of soil and/or water. However, the roll-offs need lots of space to maneuver for drop off and pickup, and each lid is its own special snowflake (protip: never let the transporter leave without having him demonstrate how to operate the lid, and if it looks sketchy, refuse delivery. You don't want to fill the thing halfway and realize you can't open the other side), and if these suckers get too wet or too full, you've got to figure out how to either solidify them so they don't slop out the back when lifted, or scoop enough stuff back out of them again. Example in mid-drop off below (from wikipedia). Note the lifting angle.
How does one solidify an overly sloppy roll-off? Well, you can wait for the solids to settle and try draining the free liquid. If you have some extra well screen, you can poke that in there before you get any real accumulation and fill around it. Stick a pump in the screen and remove as much water as you can. It probably won't be much. You can borrow extra materials the drillers left - bentonite clay, sand, and road-building gravel - to try and give the slop enough structure that the roll-off can be lifted. Or, find a local farm supply place and buy a couple bags of wood shavings.
The main thing, though, is to keep your solids dry and secure, regardless of whether you're keeping them in a 5-gallon bucket or a 40-yard roll-off.

Investigation-derived waste
I haven't had any field rants recently, so I spent a couple minutes brainstorming, and I realized: I haven't complained about investigation-derived waste (IDW), one of my biggest management headaches! How did that happen?
So. When we do an environmental investigation, we are poking around for sample material - anything from scratching the surface with a trowel to drilling boreholes hundreds of feet deep to install monitoring wells. Inevitably, we will end up with stuff that came out of the ground which may be contaminated. Depending on the jurisdiction and the level of contamination (and how much we know about the site already), we may be able to discharge water to the ground surface or dump the soil back in the hole we got it from. We may not. So it gets put into drums or stockpiles or tanks for characterization and disposal.
The real problem is with the smaller sites, which have much less room for this stuff and aren't on any contractors' priority list because of the small volume involved. For smaller jobs, you wait until the end of the field project, so that you aren't generating more stuff after characterization. So you try to arrange the characterization (sampling for disposal), get it all approved with the client and the regulatory regime and the disposal place, and try and get someone with signing authority who will be available at the same time as the transport/disposal people. By the time all these pieces are in place, the IDW has been sitting quietly in a corner with nobody around to keep an eye on it, because all the active work has finished. And inevitably, neither the signing person nor the transport/disposal contractor have been to the IDW storage area before, and there will be some sort of access or technical problem (the drums froze overnight! The ground thawed and the drums disappeared into a frost heave! A fleet of trucks is parked in front of the drums! Something got mislabeled and your drum count is wrong!) that causes everything to grind to a halt.
I have had more headaches with trying to get IDW properly staged for disposal, approved, and carted off site than with any other phase of an investigation.

sharing a porta-potty
So my last post was about how having my period in the field wasn't a big deal. It's true that it's not anything that really slows me down. However...
...this is your last chance to avoid a gross discussion...
it is super awkward to be the only lady in the field team and to be sharing the porta-potty with a crowd of guys, the same way it's awkward that you know someone's system isn't agreeing with breakfast because they booked it to the porta-potty and spent quite a while there. Nobody hangs out in an aging porta-potty just to finish the article they're reading. Much as some people are inclined to bury the results of an unpleasant visit to the porta-potty with a pile of toilet paper, those results are usually obvious to the next person. And if you have a field crew of any size, those results get, ah, closer and closer to the toilet seat as the fieldwork goes on. You can't help but look - you need to make sure there isn't some sort of horrible critter nesting in or about to fly out of the seat.
And then everybody knows exactly when it's a heavy flow day.

fieldwork and your period
A recent post at Dynamic ecology referenced a long twitter discussion of menstruating in the field. What amused/horrified me was all the suggestions that we (the ladies) should just get an IUD or take a whole bunch of hormones or something to banish our periods altogether. What a strange overreaction.
I've been getting my period since I was 13, and it's really not a big deal. On days where I need them, I keep my feminine supplies and a couple of plastic baggies tucked in a pocket, and then I wrap the used item in a bunch of toilet paper, stuff it in a baggie, and dispose of it discretely in the trash. Sure, it's awkward to spend inordinate amount of time in the porta potty or communing with nature, but honestly, I've worked with a lot of guys who seem to have, uh, intestinal distress on a regular basis and everybody gets that sometimes you need to take a time out.
Menstrual cramps have been more of a problem for me than disposal or awkwardness about having to disappear much more often than usual. Luckily, I found out late in college that my cramps are directly related to poor diet, and I avoid them almost entirely most of the time. I will admit that I'm lucky that both my cramps and migraines respond readily to non-prescription medications (naproxen for cramps, excedrin with caffeine for migraines) as long as I take it as soon as symptoms hit, not once I'm doubled over with pain/nauseous.

pizza politics
As I discussed a while back, I don't really eat lunch in the field. I'm fine with other people eating lunch, but I tend to work right through the work day.
With that said, I may still get irrationally annoyed if someone:
1. Orders a pizza without telling anyone or asking if anybody else wants to order
2. For pickup right before we head out on a four-hour drive
3. Eats the large, greasy pizza with lip-smacking gusto
4. Does not offer to share, and

Seriously, if you're going to order something big and aromatic and then trap me in the truck with it, the least you can do is an offer to share a slice.
With that said, I may still get irrationally annoyed if someone:
1. Orders a pizza without telling anyone or asking if anybody else wants to order
2. For pickup right before we head out on a four-hour drive
3. Eats the large, greasy pizza with lip-smacking gusto
4. Does not offer to share, and

management accessibility
Most environmental projects with a field component have an office-based project manager (PM), who works out the budget and schedule, deals with the client, and bargains with the other managers for appropriate personnel.
Then the field crew goes to work. The crew has a dedicated field team lead, who's responsible for getting the work done and communicating any issues/changes to the PM, who will notify other stakeholders (including the client) and adjust the overall project accordingly.
If you're a PM and your field crew is working outrageous hours, you need to be available for those hours. You may not need to be in the office, but you need to be on-call. Sure, it sucks to be chained to your phone in the evening or get rousted out of bed early in the morning, but the field crew doing your work is out there in the (potentially lousy) weather, doing physical and possibly stressful work.
Also, if the crew comes back from working long hours in the field and needs to spend another several hours in the office processing and shipping samples, and the PM is going to spend the rest of the afternoon at a golf tournament, the PM shouldn't be surprised if the field crew is a little... testy.

more documentation woes
It's been a while since I complained about documentation (see here), so here goes...
Sometimes the form just doesn't contain everything you need to say, or you drop it in a puddle, or you've been poking at a clay-rich mud while logging a sample and you smear it across the paper as you write. So you put the other half of the data on the back of the logsheet, or squash it vertically down the edge of the page.
That's ok. Your critical information is there somewhere, right?
Well, what often happens is that the dirty page gets shuffled in with all the other paperwork bits associated with the project and handed off to an intern to scan and then everybody forgets about it and the originals get lost. And then six months or a year later, I'm writing the report and need that critical information and it's gone because the scanner didn't catch the far edge of the page or nobody noticed the writing on the back.
Take the two minutes out of your life before the paperwork leaves your control to check this stuff and make sure that everything is filled out and legible. Or make sure that it's scanned and that it's still legible. Or refrain from shredding the original paperwork until the project's done. Whatever. Just don't leave me out to dry here!

expired sunscreen use
As I mentioned a while back, I use a ton of sunscreen. I am also a bit scatterbrained and tend to lose things like sunscreen, so over the years, I have bought and squirreled away innumerable bottles of both "regular" and "face" sunscreen (critical to prevent serious pain from sweat + sunscreen running into my eyes).
I am also cavalier about expiration dates.
This isn't usually a problem, but I recently found an old bottle of sunscreen and in a pinch, applied it to my face. Two days later, I had a horrifying rash + acne breakout, and checked out the offending sunscreen.
It expired in 2009.
In hindsight, the fact that the sunscreen was not white (or even sort of yellow) but a light brown color should have tipped me off that perhaps the stuff was not trustworthy. I think I've used it relatively recently (like, a year ago) with no ill effects, but I may have restricted it just to non-sensitive areas like my arms.
So I actually went through and pitched everything that expired more than 3 years ago. In the future, I'll try to keep my purchases of new sunscreen to a minimum, and keep my sunscreen storage places to a few safe locations (i.e. not in the car, where they alternately cook and freeze). I would like to avoid looking like a dermatology case study.

weight and fieldwork
I discussed this a while back, but I tend to lose weight if I'm doing a significant chunk of fieldwork (say, more than 2 months) and gain weight when I'm back in the office. When I'm in the field, I'm constantly in motion - pacing while on the phone, scurrying back to the truck/trailer/storage unit to grab something, hauling stuff around. When I'm not doing fieldwork, I'm mostly sedentary at the office and then I come home and do maybe an hour of exercise one or twice a week.
I thought that most people lost weight in the field like I do, but when I asked around, I found that many of my coworkers gain weight. This is usually for a few reasons:
1. Regular exercise: unlike me, lots of other people who do fieldwork like physical activity/exercise, and when they're not in the field, they're on an adult rec league or they hike six mountains every weekend or they go on long bike rides/runs. When they're working long days, they don't have the time or facilities/equipment to exercise like they normally would.
2. Alcohol. This really deserves its own post, but briefly, we tend to drink more in the field than when we're at home.
3. Eating outside food: some people are diligent about cooking for themselves, either for their own enjoyment/interest in saving money or because they have dietary restrictions. The rest of us eat out. A lot.

so dirty!
I don't know what it is, but I cannot keep my clothes clean when I'm in the field. Everyone else on the field crew will leave the site looking like they've spent a day working hard, sure. But I leave the site looking like Pigpen. So why the mess?
1. As a geologist, I have to really get into the soil. I'm logging cores, or venturing close to the drilling operations to collect cuttings. So I have more contact with dirt, or with drill rigs spewing stuff in general.
2. I finally have all my field clothing that's sized appropriately and works for me. Everything else I have to wear? Not so much. Traffic vests billow out and catch on things, or just drag down across the table when I'm bent over to log something. Hard hats and safety glasses slide down, and I push them back up with dirty hands or the back of a dirty sleeve.
3. If I'm primarily observing contractors or others, it would be nice to kick back with a camp chair in the shade. But the appearance of laziness doesn't go over well with the general public, clients or other stakeholders who drop in, and the people you're overseeing. Besides, I'm far too twitchy to just hang out. Instead, when I've been on my feet for ages and need a break, I tend to lean against/perch on whatever's handy: a tailgate, a fender, a pile of core boxes, etc. And those are invariably dirty.
4. I'm just not that fastidious, and I'm usually in a hurry. So I lean in to yell something at the driller over the noise of the drill rig, and my shoulder brushes against a glop of grease on the rig. Or I round the corner of a truck and snag part of my jacket on it. Or I grab a mud-covered pipe wrench that the driller can't quite reach, and transfer some of that to my sleeve. Or I'm fighting through undergrowth to locate something, and I get a colony of burrs stuck to...everything.
This is why I need lots of pants and field shirts - I run through them faster than anyone else I know.

getting samples shipped
I think I'm at the final piece of my sample shipment/management saga. Part 1 is here, part 2 is here, part 3 is here, and part 4 is here. Let's recap. When shipping samples, you need to make sure that the custody seals are all in place,
that the COC is filled out and signed properly, that the samples will
stay cold, but not so cold that they'll freeze, that the sample containers
won't break, that the samples are sealed in their cooler, that the
cooler is sealed and labelled properly...and every step is part of a
strict procedure that will cause big headaches for the project if there's a breakdown.
That's all well and good. The problem is that when shipping samples, you are invariably on a deadline. You can keep some samples on ice for a while, and ship when you get around to it (for example, metals analysis for soils). But some samples, like those for microbial analysis, need to go out ASAP, such as the same day. Samples for other common analyses, such as volatile organic compounds (VOCs), really need to go out in a day or two to meet holding time requirements. So you've got to get those samples out the door. Here's my list of favorite to least favorite shipping times/options:
1. The lab is less than 30 minutes away. You are allowed to contact the lab directly (don't ask). You call up in a dither because you're inundated with samples and you're going to be late. The lab is normally open until 6 or 7 PM, but some kind soul will come back or wait for you to drag your samples over.
2. You are within reasonable driving distance of a commercial/ reasonably sized airport. The final FedEx acceptance time at a regional airport is usually 10 PM. For a major airport, it may be midnight.
3. You are somewhat close to a commercial/industrial hub, and you can find a FedEx within reasonable driving distance with an acceptance time of 7 or 8 PM.
4. You have a lab courier, and you can convince the courier to swing by you last. The courier is used to dealing with field staff who aren't quite ready for the pickup, and is usually fine with waiting another couple of minutes. Also, if you have a courier, your shipment requirements aren't nearly as onerous.
5. The local FedEx isn't a major distribution center, so it stops accepting samples at 5 or 6.
6. There is no local FedEx distribution center. You can arrange for a pickup time. You're on a major field project, and the FedEx person has become used to/is mildly amused by your frantic last-minute cooler wrapping antics. They will stop by later, at the end of the run, or can be bribed with trailer coffee to wait for a few minutes.
7. You can only get an afternoon pickup time and the FedEx driver will only stop for 30 seconds and won't come back later. Or you're not on a FedEx route at all, and the only place you can drop off your samples is a local copy shop an hour away, and their posted last pickup time is mid-afternoon.

rural adventures
The title to this post from earlier this week caught my eye immediately. "My job wants me to deal with shotguns, guard dogs, mud holes, and dark woods"... it's another day in the life of Short Geologist! In the case of the Ask a Manager post, it's someone who's sent out to canvass for something or other, and their management is shrugging off their safety concerns.
The comments (as usual) go off in a million directions, but I wanted to address a side discussion about rural poverty, and stereotypes about where you can encounter it and how dangerous those areas actually are.
I'm an overeducated East Coast Big City person, and especially when I was younger, I'm sure it was pretty obvious that I was out of my element when I did fieldwork out in rural, poor areas. And I sometimes got a hostile reception. Sometimes we were chasing down contamination from a neighboring industrial area that had employed a bunch of locals before getting shut down. Or I was acting (in some small way) as the agent for the government, and a resident had a certain... strongly held objection to his tax situation.
Lots of other East Coast Big City types think of "Deliverance" type poverty (shanties, barefoot kids and scrawny dogs underfoot, no running water) as only happening in the deep south and far, far from populated areas. Not true. As some commenters pointed out, you can travel less than 2 hours from any major city in the northeast and find those areas. I've done residential sampling in some of those areas, some of which were 10 minutes and one road off the nearest interstate exit and less than a half hour from a major population center. "Country mansion" (old trailer with several plywood/tarpaper extensions)? Check. Half naked kids running around during school hours? Check. Collection of rotting trucks out front with no plates? Check. Survivalist-style gun racks/canned food collections? Check.
Here's the thing. I've been harassed just as much standing on the sidewalk in a fancy suburban development as I have in some of those rural, poor areas. Poorly-behaved, territorial dogs are everywhere. And I've been in a lot of basements. Let me tell you, it is a rare house indeed that has a basement that isn't scary and infested with creepy crawlies. If you need to poke around houses out in the country, you should have a buddy... same as anywhere else.

muttering
When I'm overseeing contractors, I am generally easygoing. I don't get worked up if the geology doesn't cooperate, or if a contractor's piece of equipment malfunctions and needs some sort of fix. Stuff happens. Drillers who I've worked with on long projects and/or projects that have been prone to various technical obstacles know that I'm basically relaxed about these sorts of budget/schedule busters.
That doesn't mean I'm easygoing with my equipment or what I need to do. My coworkers know when I'm having technical difficulties, because a constant stream of muttering/mild curses comes from my office/around the corner of a recalcitrant piece of equipment.
I recently was doing some sampling while I had contractors doing prep work that didn't require any oversight on my part. Specfically, I was using a bailer to collect water samples from an extremely deep well with a water level greater than 200 feet below grade (don't ask). And every time I pulled up the bailer, no matter how careful I was, I inevitably tangled the string into a massive Gordian knot that I could either pick apart or cut and knot back together. I had no idea about this, but apparently the acoustics of the place were such that the contractors could hear every choice word. According to the crew, the contrast between easygoing overseer and cranky worker was so funny, they hung out for a while just to appreciate how much fun I was not having.
Oh well, some days I'm the only entertainment we get.

chain of custody
This is part 4 of my epic discussion on shipping environmental samples (see here and here and here for previous installments).
Environmental samples are much like samples gathered as part of a criminal investigation: you need to prove that they were collected properly (that is, that they are representative of actual conditions) and that they have not been tampered with.
The chain of custody involves two parts: keeping samples secure, and documenting the handover of samples.
Sample security
Most work plans will specify that samples will be kept under the control of the sampler (or someone) until shipment. Practically speaking, this means that coolers should be kept at a staging area, or the trailer, or in your vehicle. They should not be shoved under the trailer or tucked behind a storage shed overnight because they'll stay cool and not-underfoot that way.
The magic token we use to document sample security is a custody seal - a sticker that you sign and date, and then cover either side of the cooler with (or every individual sample, depending on the jurisdiction). Then you usually cover the custody seal and cooler with a few wraps of tape. The idea is that if someone cuts into the cooler/opens the sample jar, they will damage the seal.
The custody seal may be provided by the lab or the sampling firm. In a pinch, I've scribbled my signature and date on a piece of paper and taped that to the cooler. Alternately, you may have a restricted/special supply so that you can document exactly which seal is associated with which cooler/sample.The more specific/detailed the custody seal procedure is, the longer the whole process takes and the more likely you are to screw up, prompting howls of outrage from the lab, the lead chemist, the regulatory agency, etc.
Documenting sample handover
We all use a form called a chain of custody (COC), which is either provided by the lab, or the sampling organization, or the sampling organization's client. That form lists the sample ID, bottleware (how many containers? What type?), preservative, date/time collected, and analyses to be performed. It may list laboratory quality control (QC) samples for the lab. It should also include a note if the samples are screaming hot/pure product or may otherwise require special handling. The form also includes a place for the sampler to sign and for the person handling the samples/packing the cooler to sign and date with the time. When the sample is handed over to the lab/courier or the lab opens the cooler, that person signs. Any time the samples change hands, the COC is signed or a new one is produced. Eventually, a copy of the completed COC is provided with the lab data to show how the samples were handled.
Ideally, you have one COC per shipment. But sometimes you have multiple coolers and need separate COCs. Good luck squashing in that one bottle at the end!
The COC is checked by the lab and by the sampling firm and/or client lead chemist to make sure everything was done correctly. If not, the data may be qualified or rejected, and may require re-sampling. Regulators and consultants for the opposition (if in a legal dispute) scrutinize this stuff.

The magic token we use to document sample security is a custody seal - a sticker that you sign and date, and then cover either side of the cooler with (or every individual sample, depending on the jurisdiction). Then you usually cover the custody seal and cooler with a few wraps of tape. The idea is that if someone cuts into the cooler/opens the sample jar, they will damage the seal.
The custody seal may be provided by the lab or the sampling firm. In a pinch, I've scribbled my signature and date on a piece of paper and taped that to the cooler. Alternately, you may have a restricted/special supply so that you can document exactly which seal is associated with which cooler/sample.The more specific/detailed the custody seal procedure is, the longer the whole process takes and the more likely you are to screw up, prompting howls of outrage from the lab, the lead chemist, the regulatory agency, etc.
Documenting sample handover
We all use a form called a chain of custody (COC), which is either provided by the lab, or the sampling organization, or the sampling organization's client. That form lists the sample ID, bottleware (how many containers? What type?), preservative, date/time collected, and analyses to be performed. It may list laboratory quality control (QC) samples for the lab. It should also include a note if the samples are screaming hot/pure product or may otherwise require special handling. The form also includes a place for the sampler to sign and for the person handling the samples/packing the cooler to sign and date with the time. When the sample is handed over to the lab/courier or the lab opens the cooler, that person signs. Any time the samples change hands, the COC is signed or a new one is produced. Eventually, a copy of the completed COC is provided with the lab data to show how the samples were handled.
Ideally, you have one COC per shipment. But sometimes you have multiple coolers and need separate COCs. Good luck squashing in that one bottle at the end!
The COC is checked by the lab and by the sampling firm and/or client lead chemist to make sure everything was done correctly. If not, the data may be qualified or rejected, and may require re-sampling. Regulators and consultants for the opposition (if in a legal dispute) scrutinize this stuff.
This chain of custody process can be frustrating to a scientist, because it has zero impact on the analytical results. But ultimately, the samples are part of a legal process that is just as important to the overall project.
